How to Manage a Virtual Assistant Team

There is no doubt that as business owners, we desire an efficient business because an efficient business equals more customer satisfaction. But, have you already thought about how to make those essential and crucial businesses “things” more efficient?

An ideal way, of course, is to allow constant collaboration. You might ask, “Why collaboration is important?” Well, the very reason why it is important is that it allows you and your team to work towards the same goal most sustainably and efficiently possible.

As an owner and CEO of 3 startup companies – DSV Digital Management Corporation, GoVirtuals, and LeadIncrease, I had the opportunity to experience the many mistakes I have committed to managing virtual assistant companies here in the Philippines. Let me share with you some of the tidbits of wisdom that worth pondering. 

Virtual assistants are not robots, they are human beings – as a person who is directly responsible for the make or break of a business, we tend to forget that we are communicating with another living human and not with a robotic machine. As a result, we unintentionally overlooked the fact that they also experience the same mixed emotions as us. If they committed mistakes, it is easy to get upset with them.

To avoid this thing from happening, or at least drastically reduce, you need to build a relationship beyond work-related issues. Building an emotional bond not only triggers their motivation but also allows them to express their deeper thoughts and understanding to you without reservation.

  • Remember that your virtual assistants are virtual assistants, not entrepreneurs when I began hiring virtual assistants five years ago, I had the notion that I can incorporate them art my business and then let them figure out the tasks that need to be done. Fortunately, I’ve found out that it was a very tragical method. You can’t just hire someone who has a specific skill then let him decipher the code. As a matter of fact, even if you show them your objectives, they still need clear and vivid details about the tasks. 
  • Don’t forget that managing a team of virtual assistants is not kid stuff it is not a piece of cake, and it will never be. Managing a team of remote workers will always require constant communication and ongoing training about the proper management of their assigned tasks.
  • Create documentation for your processes for any and all of your existing tasks, you must be able to document your process. This will not only provide you systematized instructions but will also offer an easy way to learn for your virtual assistants.

All of the things mentioned above fall into workflow management, something that we might not have thought of, but we keep on doing in our business.
